Responsibilties and Duties of Elected Positions

President Responsibilities include but are not limited to:

  • Member of the Board and Executive Board.
  • Supervises, directs and controls the business and monetary affairs of the Chorale.
  • Conducts and presides at all Executive Board Meetings.
  • Conducts and presides at all general meetings of the membership.
  • Informs members of policies and encourages adherence to said policies.
  • Administers the Scholarship Program.
  • Directs the activities of the other elected Board officers.
  • Conducts the annual election of officers.
  • Informs members of important changes in activities, schedules, etc.
  • Supports the Founder/Director’s artistic needs.
  • Performs additional duties as requested by the Chairperson of the Board.
  • Conducts the annual meeting of the Chorale.
  • Participates in the annual scholarship talent auditions.
1st Vice President, Business Manager Reports to the President and the Executive Board.
Responsibilities under the direction and supervision of the President include but are not limited to:

  • Member of the Board and Executive Board.
  • Acts in place of the President when the President is absent.
  • Secures practice and concert facilities.
  • Negotiates contracts for performance venues; fees for special event performances and solicits member involvement in events.
  • Responsible for the soliciting the design of concert tickets, and procuring printing of the tickets.
  • Develops and prepares final mockup of concert program and procures printing of
  • Promotes methods to obtain advertisements for Chorale programs and events.
  • Solicits performance events for Board and member approval.
  • Works in conjunction with the 2nd Vice President to enhance the Chorale’s image for maximum exposure in the media and performing outlets. Develops methods to enhance the Chorale’s public image and visibility, to secure gifts, donations and other support and to promote the goals of the Chorale.
  • Arranges transportation, if necessary, to said performance events
  • Coordinates with the Production Manager regarding budget and staging requirements for special event performances.
  • Provides event schedules for members.
  • Generally performs as the contact to the community and business manager of the

  • Participates in the annual scholarship talent auditions.
2nd Vice President, Marketing and Publicity Reports to the President and the Executive Board.
Responsibilities under the direction and supervision of the President include but are not limited to:

  • Member of the Board and Executive Board.
  • Attends all Executive Board meetings
  • Works in conjunction with the 1st Vice President/Business Manager to enhance the Chorale’s image for maximum exposure in the media and performing outlets. Develops methods to enhance the Chorale’s public image and visibility, to secure gifts, donations and other support and to promote the goals of the Chorale.
  • Keeps regular contact with all media resources — print, radio, email newsletters for various organizations to keep them abreast of Chorale performances and
  • Responsible for the development and dissemination of all publicity to media resources including marketing materials for promotion of the Chorale and its
  • Suggests a marketing/publicity plan for the Chorale.
  • Develops with the help of the Marketing Committee appropriate marketing materials for the Chorale as needed.
  • Performs additional duties as requested by the President or Chairperson.
  • Works with the Chorale’s webmaster as well as supervises the content of the Chorale’s website.
  • Participates in the annual scholarship talent auditions.
Secretary Reports to the President and the Executive Board.
Responsibilities under the direction and supervision of the President include but are not limited to:

  • Member of the Board and Executive Board.
  • Keeps the official record of the proceedings of the Board and Executive Board
  • Keeps and uses the Seal of the Chorale.
  • Supervises and maintains all records, except property.
  • Maintains a membership roster and provides members with a copy.
  • Maintains a list of patrons, Scholarship Board Members, special Chorale memberships, i.e., Emeritus; Sustaining; scholarship recipients; members temporarily terminated by absences or illness; special supporters, etc.
  • Produces a bi-weekly newsletter (new-e-notes) to the members of the Chorale.
  • Selects Section Leaders, with Board approval. Supervises Section Leaders through Section Leader liaison, in monitoring the attendance of members at all practices and selects, with Board approval and supervises the Social Chairman.
  • Writes timely letters of appreciation to all non-member supporters and all other letters appropriate to maintain a friendly contact with the community.
  • Maintains collection of information sheets on all members.
  • Performs additional duties as requested by the President or Chairperson.
  • Participates in the annual scholarship talent auditions.
Treasurer Reports to the President and the Executive Board.
Responsibilities under the direction of the President include but are not limited to:
• Member of the Board and Executive Board
• Administers al I Chorale monies.
• Collects and monitors member dues.
• Keeps up-to-date records of financial status of Chorale in Quicken and makes regular written reports to the Executive Board.
• Custodian of all Chorale property records. This includes estimated value, location and custodian.
• Provides timely and appropriate State and Federal reports as required by law.
• Keeps the Chorale liability insurance and any other insurance required up-to-date.
• Bills members — from list provided by the librarian or wardrobe committee — delinquent in the return of Chorale properties.
• Performs additional duties as requested by the President or Chairperson.
• Participates in the annual scholarship talent auditions.
• Controls Chorale Credit card.
• Cooperates in financial audits conducted by the Audit Committee upon the request of the President or Board.
• Carries out the Financial Policy of the Chorale. .
LibrarianReports to the Director and the Executive Board.
Responsibilities include but are not limited to:
• Orders, at the direction of the Director, all music for rehearsal and concerts.
• Receives ordered music, verifies correct number of copies received. Identifies (stamps and labels) each copy of received music.
• Dispenses music upon Director’s approval and upon secretary’s verification of receipt of member’s dues and completed membership form.
• Responsible for the collection, packet breakdown, resorting, replacement of “lost copies,” counting, and bagging of returned music; and safe return to the music storage unit.
• Reports any delinquent return of music to the Treasurer for billing of the value of the music.
• Reviews and verifies all music order invoices and submits them to the Treasurer with an explanation as to what has been received and the status.
• Must be computer literate in order to maintain the descriptive data base of all music in the library which includes name of song, unit price, voicing, arrangement, number of copies, and a total cost of each song set. This includes a total cost of all items in the library. Printout of inventory presented to Director at the end of each Chorale session. (Twice yearly.)
